What it’s like to work with us
Handing a trip to someone else takes a little trust. Here’s exactly what we take on, what we’ll need from you, and what you can expect back.

Who we’re built for
We’re at our best when a trip has more moving parts than one person should reasonably carry. Several households. Different budgets in the same group. Arrivals from four cities. A grandparent who’d rather not manage stairs, a toddler who naps at one, and a cousin who booked their own flight without telling anyone.
If you’re the person everyone looks at when the trip comes up, you’re who we built this for.
We’re probably not the right fit if you already know exactly which hotel and which nights and just want someone to click the button. You’d be paying for judgment you don’t need. We’ll tell you that on the first call rather than after a proposal.

What we take on
A great group trip is built months before anyone packs. We take the whole of it:
- Proposals and costing, with real numbers rather than ranges
- Rooming that works for households with different budgets, without anyone having to say out loud what they can spend
- Individual bookings and payments, so nobody becomes the group’s treasurer
- Flights and arrivals from however many cities your group is coming from
- Dietary needs and mobility requirements, passed quietly to the property before you arrive
- Reservations that had to be made a hundred days out
- Documents, travel protection, transfers, tee times
By the time you travel, it is already settled. And once you’re there, one number reaches us — for anyone in the group, at any hour.

How it works
One conversation
Forty-five minutes. Who’s coming, what the trip is really for, and an honest sense of budget. If we’re not the right fit, you’ll hear it here rather than after a proposal.
Two directions, not twelve
You get two options, each with a per-person number and a description of what the week actually feels like. You pick one. We refine it.
Everyone books their own
Each traveler or household is handled individually, so you never collect anyone’s money or chase anyone for a check.
The months before
Rooming, flights, transfers, dietary and accessibility notes, reservations, documents. You’ll get a short update every couple of weeks, and there’ll be nothing on it for you to chase.
On the ground
One number, shared with every traveler, for the whole trip. A missed connection becomes our phone call instead of your evening.

What we’ll need from you
Less than you’d think, and almost all of it in the first two weeks.
- One conversation. Forty-five minutes to tell us who’s coming and what the trip is for.
- An honest budget range. Not a number you’re committed to — a range you’d be comfortable in. It’s the single most useful thing you can give us, and vagueness here costs you good options.
- Names and contact details for the group. We take it from there; we don’t need you to collect anything else.
- One decision, once. We’ll bring you two directions. Picking one and letting us run is worth more than perfecting the brief.
What we won’t ask you to do: chase anyone for money, build a spreadsheet, or answer questions on our behalf.

What you can expect from us
- A reply within one business day. Every time, including while you’re traveling.
- Two options, not twelve. Each one costed per person, each one something we’d genuinely recommend. Choice is useful; a catalogue is just work we’ve handed back to you.
- An update every couple of weeks once the trip is booked, with nothing on it for you to chase.
- Everyone handled individually. Each traveler or household books and pays their own way. You are never the treasurer.
- One number on the ground, shared with every traveler, for the whole trip.
- Straight answers. If a property isn’t right for your group, or a date won’t work, or the budget won’t reach the idea, you’ll hear it early.

When to start
Earlier than feels necessary. Groups take up the best rooms at a property, and there are only so many of them.
Nine to fifteen months ahead for peak-season resorts, links golf in Ireland and Scotland, and anything over twenty people. Six months is workable for most domestic trips. If your date is closer than that, ask anyway — we’ll tell you honestly whether it’s still worth doing well.
The most common regret we hear about group travel isn’t the destination. It’s starting late and settling.

How we’re paid
We don’t charge planning fees. Our compensation comes from the hotels and suppliers we book through, paid after travel is completed. You pay the same rates you would booking directly, and often receive amenities you wouldn’t have otherwise.
Which means we’re only paid when a trip is booked and taken — and that our recommendations are shaped by what fits your group, not by what pays best.
The first conversation is free and carries no obligation. If we’re not right for your trip, that call is where we’ll say so.

Tell us who’s coming.
A few lines is plenty to start.
