1. Who we are

ʻOhana Getaways LLC is a travel advisory based in Olathe, Kansas, and an independent travel advisor of Fora Travel. This policy explains what personal information we collect, why, and what we do with it.

2. What we collect

When you contact us. Your name, email address, phone number if you provide one, the type of group you’re planning for, and whatever you tell us about the trip.

When you become a client. Information needed to book travel: full legal names as they appear on identification, dates of birth, phone numbers, mailing addresses, passport details where international travel requires them, frequent traveler numbers, and any accessibility, dietary or medical needs you choose to share so we can communicate them to suppliers.

Payment information. Where you choose to provide a payment card, it is stored in Fora Travel’s secure vault — not on our own systems, and not in email, text messages or any document we hold. We access a stored card only to make bookings you have authorized.

We will never ask you to send card details by email or text message. If you receive a request like that claiming to be from us, it is not from us.

From what we observe over time. After you’ve travelled with us, we may note preferences — the kind of property that suited your group, what worked and what didn’t — so we plan better next time. We do not use this for advertising.

Automatically, when you visit this site. Standard analytics — pages viewed, approximate location, browser and device type, and how you arrived. We use this to understand what’s useful on the site, not to identify you.

3. Why we collect it

  • To respond to your inquiry and plan your trip
  • To make and manage reservations with suppliers
  • To communicate necessary details to hotels, airlines and other providers
  • To send you trip documents, updates and confirmations
  • To send occasional marketing emails, if you’ve opted in
  • To meet legal and record-keeping obligations

4. Who we share it with

Suppliers. Hotels, airlines, tour operators, transportation providers and other suppliers receive the information necessary to deliver your travel — names, dates, contact details, and any preferences or needs relevant to your stay.

Fora Travel. As our host agency, Fora Travel processes bookings and maintains client records in its systems, including securely stored payment card details where you have provided them. Fora’s own privacy policy applies to information held there.

Service providers. Companies that help us operate — website hosting, email, scheduling — with access limited to what their function requires.

In an emergency. If a traveler has a medical or safety emergency during a trip, we may disclose information necessary to get them help — to medical providers, local authorities, an insurer, or an emergency contact. Group travel makes this more likely, not less, and we would rather be able to act.

Legal requirements. Where required by law, subpoena, or valid legal process, or to protect rights, property and safety.

If the business changes hands. If ʻOhana Getaways is sold, merged, or transferred in whole or part, client information may transfer as part of that transaction. Any acquirer would be bound by this policy or one materially equivalent.

De-identified and aggregated data. We may use and disclose information that no longer identifies you — for example, how many travelers a typical group includes — and we take reasonable steps to keep it that way.

We do not sell your personal information.

5. Sensitive information

Some travel arrangements require information you may consider sensitive — accessibility needs, dietary restrictions, allergies, or medical conditions relevant to travel. We collect this only when you provide it, use it only to arrange appropriate accommodations, and share it only with the suppliers who need it to serve you.

6. Group travel

When one person organizes travel for a group, we may receive personal information about other travelers from that organizer. If you’re the organizer, you’re responsible for having authority to share that information. If you’re a traveler whose details were provided by someone else, you can contact us directly about your information at any time.

7. Cookies and analytics

This site uses cookies and similar technologies for basic function and analytics. You can control cookies through your browser settings; disabling them may affect how the site works.

8. How long we keep it

We keep client information for as long as needed to provide services and meet legal, tax and record-keeping obligations. Inquiry information from people who don’t become clients is kept for a reasonable period and then deleted.

9. Your rights

Depending on where you live, you may have the right to:

  • Request a copy of the personal information we hold about you
  • Correct inaccurate information
  • Request deletion, subject to our legal obligations
  • Opt out of marketing communications at any time
  • Opt out of the sale or sharing of personal information — though we do not sell personal information

10. Marketing emails

If you sign up for our newsletter or opt into updates, you can unsubscribe at any time using the link in any email. Unsubscribing from marketing does not stop transactional messages about a trip you’ve booked.

11. State privacy rights — United States

California. If you are a California resident, you may request the categories and specific pieces of personal information we have collected, the sources, the purposes, and the categories of third parties we disclose to. You may request correction or deletion, and you may opt out of sale or sharing — though we do not sell or share personal information for cross-context behavioral advertising.

Sensitive personal information. Some information we collect to arrange travel is treated as sensitive under California law, including passport and government identification details and any health-related information you provide such as accessibility needs, allergies or medical conditions. We use it only to arrange and deliver your travel, never to infer characteristics about you, and never for advertising.

Colorado, Connecticut, Virginia and other states. You may have rights to access, correct, delete, and obtain a portable copy of your personal information, and to opt out of targeted advertising and profiling.

When we may decline. We may decline a request, in whole or part, where the law prohibits granting it, where it would affect another person’s privacy or rights, where we are legally required to retain the information, where we cannot verify who you are, or where the request is unreasonable or excessive. We will tell you why.

Appeals. If we decline a request, you may appeal by replying to our decision at privacy@ohanagetaways.travel. We will respond to appeals within the period required by your state’s law.

California Shine the Light. We do not disclose personal information to third parties for their own direct marketing purposes.

Authorized agents. You may use an authorized agent to submit a request. We may ask the agent for proof of authorization and may ask you to verify your own identity directly.

Verification. To protect your information, we will take reasonable steps to verify your identity before acting on a request. This usually means confirming details we already hold.

No discrimination. We will not deny service, charge different prices, or provide a different level of service because you exercised a privacy right.

12. Opt-out preference signals

Where technically supported, we honor Global Privacy Control and similar browser-level opt-out signals.

13. Email tracking

Our newsletter and marketing emails may contain small tracking images that tell us whether an email was opened or a link clicked. Most email apps let you block automatic image loading, which prevents this. Trip documents and booking confirmations are not tracked this way.

14. Do Not Track

Browsers may offer a “Do Not Track” setting. There is no common industry standard for responding to it, and this site does not currently respond to it.

15. Advertising and third-party tracking

We do not currently run advertising that tracks you across other websites.

16. Where your information is processed

Your information is processed in the United States. If you are located outside the United States, be aware that U.S. privacy law may differ from the law of your country. Suppliers you travel with will receive your information in the country where the travel takes place.

17. Children

This site is intended for adults. Travelers under 18 should use it only with the involvement of a parent or guardian.

Family and multigenerational group travel routinely includes children, and we collect information about minor travelers — names, dates of birth, passport details, dietary needs — from the adult organizing the trip. That adult is responsible for having authority to provide it. We use it only to arrange the travel.

If we learn we have collected information directly from a child under 13 without a parent or guardian’s involvement, we will delete it.

18. Security

We use reasonable safeguards to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

19. Changes

We may update this policy. Material changes will be reflected in the “Last updated” date above.
